## From a PDF to a usable order proposal.

For a wholesaler, we develop software that extracts order data from PDFs and matches it to the correct customer and products.

The application checks each proposal against current data and agreed rules. Proposals that pass are processed in the existing order system. Uncertain cases go to a member of staff first.

An improvement costs money, whether it is a connection, a portal or AI. The figure that matters is the time it frees up. A fictional worked example for processing orders:

Today: 3 employees, 10,500 euro in wage cost per month. They retype orders, check them and correct mistakes.

After the improvement: 1 employee, 3,500 euro in wage cost per month. One colleague reviews what the system proposes and handles the exceptions. Two colleagues gain time for customers, planning and sales.

Fictional worked example, not a client result. Assumptions: 3,500 euro in wage cost per full-time employee per month, deliberately on the low side, and two thirds of the work disappearing. How much that is for you, we measure in the analysis and put next to the investment, before you decide.

### Do we need to replace our existing software?

Usually, no. We investigate which integrations your current systems support and build from there. An API, file export or controlled import can provide a starting point.

### What happens to our business data?

We establish which data is needed, who may use it and which external services process it. Access, retention and use of data are agreed for each application.

### Who reviews the result?

It depends on the task. Together, we define which checks software can carry out, when a colleague needs to review the result and what happens when information is uncertain or missing.

### How do we keep costs manageable?

We start with a clearly scoped application and discuss development and recurring costs in advance. Where possible, we set limits on external service usage and make it visible.

### Can AI be useful for a smaller SME?

The number of employees is not the deciding factor. We focus on how often a task repeats, what data is available and how much review remains necessary. A focused application can be a good start; fixed, predictable rules may be better served by conventional automation.
